Suppliers Management

Learn how to add, view, and manage your food suppliers in Forkto to keep your supply chain organised.

The Suppliers page in Forkto lets you maintain a directory of all your food suppliers, including their contact details, delivery schedules, and certification information. Supplier records also link into your intake logs for full traceability.

Overview

You can access Suppliers from the Home dashboard or under Settings. The page shows:

  • A ‘New Supplier’ button at the top.
  • A search bar to filter suppliers by name or goods supplied.
  • A Show/Hide Archived toggle to reveal archived suppliers.
  • Your suppliers displayed in two formats:
    • Card view — a grid of cards showing each supplier’s details at a glance.
    • Table view — a compact table below the cards showing Name, Plant ID, Location, and Website.

Adding a Supplier

To add a new supplier:

  1. Click the ‘New Supplier’ button.
  2. A form will open with three sections:

Supplier Details

  • Name (required) — the supplier’s business name.
  • Location / Country (required) — select the supplier’s country from the dropdown.
  • Address — the supplier’s street address.
  • Website — the supplier’s website URL.
  • EC Number (optional) — toggle ‘Supplier has an EC number’ to enter their:
    • Country Code (e.g., GB)
    • Approval Number
    • EC Letters (e.g., EC)

Contact Details

  • Contact Name — the name of your main contact at the supplier.
  • Contact Telephone — their phone number.
  • Contact Email — their email address (also used if you grant them supplier access to Forkto).

Supplier Info

  • Goods Supplied — what the supplier provides (e.g., “Fresh vegetables, dairy products”).
  • Lead Time — how long orders typically take.
  • Delivery Days — tick which days the supplier delivers (Monday through Sunday).
  • Notes — any additional information about the supplier.
  1. Click ‘Save’ to add the supplier. They’ll appear in your supplier list straight away.

Viewing Supplier Details

Each supplier card shows all populated fields at a glance, including their name, address, contact details, goods supplied, delivery days, and any notes. Cards with an EC number will also display the Plant ID.

Click on a supplier card or table row to open their full details.

Editing a Supplier

To update a supplier’s information:

  1. On the supplier card, click the three-dot menu.
  2. Select ‘Edit’.
  3. Update any of the fields across the three sections (Supplier Details, Contact Details, Supplier Info).
  4. Click ‘Save’ to apply your changes.

Contacting a Supplier

If a supplier has a contact email on file, you can quickly send them an email:

  1. On the supplier card, click the three-dot menu.
  2. Select ‘Send Email’ — this opens your email client with the supplier’s address pre-filled.

Archiving a Supplier

If you no longer work with a supplier but want to keep their records:

  1. On the supplier card, click the three-dot menu.
  2. Select ‘Archive’.
  3. Confirm when prompted.

The supplier will be hidden from the main view. To see archived suppliers:

  • Toggle ‘Show Archived’ in the filter options at the top of the page.

Supplier records are used across Forkto for traceability:

  • Intakes — when logging ingredient, meat, or packaging intakes, you select the supplier from a dropdown. This links the delivery to the supplier’s record for audit and traceability purposes.
  • Supplier Access — you can grant suppliers limited login access to Forkto. This is managed under Settings > Supplier Access (see the User Management guide for details).

Auditor Access

If your account has the Auditor role, you can view supplier records but cannot create, edit, or archive suppliers.


Keeping your supplier directory up to date ensures accurate traceability across your supply chain. Regularly review supplier details, delivery schedules, and certifications as your business relationships evolve.
