Temperature Logging

Learn how to log, monitor, and manage temperature readings to maintain food safety standards in your business.

Temperature Logging in Forkto helps you record and track the temperatures of your fridges, freezers, and other storage areas. Keeping on top of your temperature checks is essential for food safety compliance.

Overview

When you open the Temperature Logging page, you’ll see a grid of location cards — one for each fridge, freezer, or storage area you’re monitoring. Each card shows:

  • The name of the location (e.g., Walk-in Fridge, Freezer 1)
  • The min/max temperature range (if set)
  • Logging buttons — either AM/PM or numbered slots (Temp 1, Temp 2, etc.)
  • A completion badge showing how many of today’s checks have been done (e.g., “50% Complete”)
  • A progress bar that fills up as you log temperatures throughout the day
  • An out-of-range warning if any logged temperature falls outside the acceptable range

Below the cards, a Temperature Logs table lists all recorded temperatures for the selected date, showing the date, location, temperature, and who logged it. You can search, sort, and export this table as a CSV for your records.

Adding a Temperature Location

To set up a new location to monitor:

  1. Click the ‘New Location’ button at the top of the page.
  2. Select the location your business operates from (if you have more than one).
  3. Enter a name for the temperature location (e.g., Main Fridge, Prep Area Freezer).
  4. Choose a location type to automatically set the temperature range:
    • Fridge — sets the range to 1°C – 5°C
    • Freezer — sets the range to -20°C – -18°C
    • Custom — lets you enter your own min and max temperatures
  5. Set the number of daily checks (optional):
    • By default, each location uses AM and PM checks (two per day).
    • Toggle ‘Custom Number of Temperature Records’ to set a different number (e.g., 3 checks per day). The buttons on the card will show as Temp 1, Temp 2, Temp 3, etc.
  6. Click ‘Add a Temperature Location’ to save.

Your new location card will appear on the page straight away.

Logging a Temperature

To record a temperature reading:

  1. Find the location card on the grid.
  2. Click the AM, PM, or numbered Temp button for the check you want to log.
  3. A form will pop up. Enter the temperature:
    • If the location has a min/max range set, you’ll see a colour-coded slider to help you. The slider shows green for the safe range, yellow near the limits, and red for out-of-range values.
    • Use the +/− button to switch between positive and negative temperatures (useful for freezers).
  4. Click ‘Submit’ to save the reading.

Once logged, the button on the card updates to show the temperature value, colour-coded:

  • Green — within the safe range
  • Yellow — close to the limit
  • Red — out of range

Understanding the Completion Tracker

Each location card shows how many of the day’s checks have been completed:

  • The badge at the top right shows the percentage (e.g., “50% Complete”).
  • The progress bar fills up as you complete checks.
  • Colour coding: green when fully complete, yellow when partially done, grey when no checks are logged yet.

This makes it easy to see at a glance which locations still need attention.

Viewing Temperature Logs

  • By default, the page shows today’s temperature data.
  • Use the Filters dropdown to switch between Today, Yesterday, or the Day Before Yesterday.
  • The Temperature Logs table below the cards shows all recorded readings for the selected date.
  • Use the search and sort options in the table to find specific records.
  • Click Export CSV to download the data for compliance reporting or record-keeping.

Editing a Temperature Location

To update a location’s settings:

  1. On the location card, click the three dots (⋮) at the top right.
  2. Select ‘Edit’.
  3. Update any of the following:
    • Location name
    • Which location it belongs to
    • Whether it has a min/max temperature range (and what those values are)
    • The number of daily temperature checks
  4. Click ‘Update’ to save your changes.

Archiving a Temperature Location

If a location is no longer in use but you want to keep its historical records:

  1. On the location card, click the three dots (⋮) at the top right.
  2. Select ‘Delete Location’.
  3. Confirm when prompted. The location will be archived (not permanently deleted).

To view or hide archived locations:

  • Open the Filters dropdown and toggle ‘Show Archived’ to reveal archived locations.
  • Toggle it off again to hide them.

Clearing Temperature Records

If you need to remove the temperature logs for a specific location on the currently selected date:

  1. Make sure you have the correct date selected in the Filters dropdown (Today, Yesterday, or Day Before Yesterday).
  2. On the location card, click the three dots (⋮) at the top right.
  3. Select ‘Clear All Temperatures’.
  4. Confirm when prompted.

Note: This only clears the logs for the selected date, not all historical records. However, it cannot be undone.

Auditor Access

If your account has the Auditor role, you can view all temperature locations and logged data, but you cannot create locations, edit settings, or log temperatures. This is by design — auditors have read-only access to ensure the integrity of your temperature records.
