Training matrix

The training matrix records training that staff complete with external providers or through your own practical instruction. Find it in the sidebar under Business → Training when the training module is on for your account.

Only administrators can view and change the training matrix.

Add a training type

Training types become the columns in the matrix. Examples include Food Safety Level 2, Allergen Awareness, Fire Safety and Manual Handling.

1. Click Add training.
2. Enter the Training name.
3. Add an optional description.
4. Click Add training.

Use the three-dot menu on a training type to edit its name or description. Deleting a training type also removes its records from the matrix. Confirm that you no longer need the evidence before you delete it.

Record completed training

Each matrix cell represents one staff member and one training type.

1. Select the applicable matrix cell.
2. Enter the Completed on date.
3. If the evidence has a renewal or review date, enter Expires on.
4. Add optional notes such as the training provider, certificate number or practical assessment detail.
5. Click Record training.

Select a completed cell again to change its dates or notes. Use Remove record only when the record was entered incorrectly.

Read the matrix statuses

• Complete: the record has no expiry date, or its expiry date is more than 30 days away.
• Expiring: the expiry date is within the next 30 days.
• Expired: the expiry date has passed.
• No record: no completed training has been recorded for that staff member and training type.

On a computer, the matrix uses a staff-by-training grid with fixed headings. On a phone, it changes to one card for each staff member.

Record a renewal

When a staff member completes refresher training, record the new completion as the latest evidence for that matrix cell. Forkto retains the earlier completion record so the underlying audit history is not replaced.

Forkto does not deliver or certify the training itself. Continue to use the appropriate external provider or your approved internal training process.
